Data Policy July 2026

This Data Policy applies to site usage and booking enquiries made on or after 1 July 2026, under Bookmundi's enquiry model. For bookings made before that date, the previous Data Policy continues to apply.

When you use Bookmundi, we must process information about you. The types of information we collect depend on how you use Bookmundi. Below we explain what information we collect, how we use and process it, and who we share it with.

When this policy mentions "Bookmundi," "we," "us," or "our," it refers to Bookmundi ApS, the company responsible for your information under this Data Policy (the "Data Controller") in respect of the information Bookmundi holds and processes. Under the enquiry model, when we share your information with a Supplier so that they can respond to your enquiry and arrange your booking, that Supplier becomes an independent data controller of your information and is responsible for its own use of it under its own privacy policy.

A) What kinds of information do we collect?

We collect the content, communications and other information you provide when you use Bookmundi, including when you sign up for an account, subscribe to our newsletter, download trip notes or travel articles, comment in our forums or on our travel articles, update your user profile, make an enquiry, or create or share content. This can include information in or about the content you provide (like metadata), such as the location of a photo or the date of sign-up.

  • When you sign up as a user. When you manually sign up on Bookmundi we collect your first name, last name, nationality, and email address. You may provide additional information in your profile, such as a photo or date of birth. When you sign in via Facebook or Google, we collect data from your public profile, including your name, profile photo, email address, nationality, and other information provided by that platform.
  • When you make an enquiry. To pass your enquiry to a Supplier, we collect the information needed for them to respond and arrange your booking — typically your name, nationality, contact number, email address, and the trip details you provide. Because under the enquiry model you book and pay the Supplier directly, the Supplier collects any further information it needs to deliver your trip — such as passport details, dietary requirements, medical information relevant to travel, next-of-kin details, and payment details — directly from you, as an independent data controller. Any message or special requests you include in your enquiry are passed to the relevant Supplier; if you choose, these may contain information such as health or dietary needs, which can be subject to special protections under the laws of your country. After we pass on your enquiry, you communicate with the Supplier directly, normally by email, and Bookmundi does not generally monitor or retain that correspondence. When you make a booking, you also accept that we may publish any review or rating information you later give us.
  • Payment information. Under the enquiry model you pay the Supplier directly; Bookmundi does not collect, process, or store your payment card details.
  • When you request trip notes, travel guides, or newsletters. When you subscribe to our newsletter, or download trip notes, a travel guide, or a travel article, we collect and store your email address.
  • Your usage. We collect information about how you use Bookmundi, such as the content you view or engage with, the features you use, the actions you take, the Suppliers or users you interact with, and the time, frequency and duration of your activities. For example, we log when you last used Bookmundi and which travel articles and tour pages you view.
  • Competitions and contests. When you sign up to one of our competitions or similar contests, we use the information you provide in marketing campaigns and may share it with Suppliers that participate in such contests.
  • Things others provide about you. We also receive and analyse content, communications and information that other people provide when they use Bookmundi — for example, when others send a message to you.
  • Device information. We collect information from and about the devices you use that integrate with Bookmundi, and combine this across the different devices you use. This includes: 
    • Device attributes — operating system, hardware and software versions, and browser type
    • Device operations — operations and behaviours performed on the device, such as mouse movements (which help distinguish humans from bots)
    • Identifiers — unique identifiers, device IDs, and other identifiers associated with the same device or account.
    • Network and connections — your mobile operator or ISP, language, time zone, and IP address.
    • Cookie data — data from cookies stored on your device, including cookie IDs and settings.


B) How do we use this information?

We use the information we have (subject to the choices you make) as follows:


  • Provide, personalise, measure and improve Bookmundi. We use the information we have to deliver our Products, including to measure and personalise features and content (such as your tour, destination, currency and activity display) and to make suggestions for you. To create personalised content, we use your past browsing on Bookmundi, how you interact with our Products, tour companies and users, and your geographical location.
  • Location-related information. We use your current location (via IP address) to show Product information in your local currency and to show relevant Products and destinations near you.
  • Product research and development. We use the information we have to develop, test and improve Bookmundi, including by conducting surveys and research and troubleshooting new features.
  • Measurement and analytics. We use the information we have to understand how Bookmundi is used, how many people use it, and how they use it.
  • Safety, integrity and security. We use the information we have to verify accounts and activity, combat harmful conduct, detect and prevent spam, and maintain the integrity, safety and security of Bookmundi.
  • Marketing and communication. We use the information we have to send you marketing and email communications, to communicate with you about Bookmundi and your enquiries and conversations with Suppliers, to tell you about our policies and terms, and to respond when you contact us.


C) How is the information shared?

We do not sell any of your information. Your information is shared as follows:


  • Suppliers of Products. When you submit a booking enquiry, we share with the relevant Supplier the information needed for them to respond and arrange your booking — typically your name, nationality, contact number, email address, and the details you entered in the enquiry. Because under the enquiry model you book and pay the Supplier directly, the Supplier collects any further information it needs from you directly. Once we have shared your information with a Supplier, that Supplier processes it as an independent data controller under its own privacy policy and is responsible for its use of your data. Many Suppliers are based outside the EU/EEA, where data-protection rules differ; we encourage you to review the Supplier's privacy terms before booking. All Suppliers for whom we facilitate enquiries have agreed to Bookmundi's terms and this Data Policy.
  • Suppliers you communicate with. After we pass on your enquiry, you communicate with the Supplier directly, normally by email; that correspondence takes place between you and the Supplier, and Bookmundi does not generally monitor or retain it. A small number of Bookmundi staff may access your enquiry details to help with your request.
  • Contests and competitions. If you sign up to a contest or competition co-sponsored by a Bookmundi partner or Supplier, we may share the information you provide with them for use in their marketing campaigns.
  • Public information. Public information on Bookmundi can in principle be seen by anyone, including people without an account. This includes comments in our forums and on travel articles. We may also publish questions you raise with Customer Service, with an answer, to help other users.
  • Content others reshare. When you post a comment, write a review, upload an image, or otherwise make information public on Bookmundi, that information may be shared via Bookmundi or other channels by other users.
  • Active status. When you are logged in, other people may see signals showing that you are active, or when you last used Bookmundi, when they view your profile.
  • Apps, websites and third-party integrations. When you log in with Facebook or Google, or use a social share or like, that information is shared with the relevant platform.
  • New owner. If the ownership or control of all or part of Bookmundi changes, we may transfer the information to the new owner.
  • Third-party partners. We share analytics and browsing data with third parties such as Google, Facebook, Hotjar and others for marketing and analytics, including to improve Bookmundi. Most of this data is only accessible in aggregate.
  • Auditors. Our auditors and similar parties may access some of your booking data, strictly for legal and accounting purposes, such as when our accounts are audited.
  • Vendors and service providers. We provide information to vendors and service providers who support our business, such as technical infrastructure, analytics, customer service, payment facilitation, and surveys.
  • Law enforcement and legal requests. We share information with law enforcement or in response to lawful requests.


D) What is our legal basis for processing the data?

We collect, use and share the data we have in the ways described above:


  • as necessary to facilitate the enquiry you ask us to send to a Supplier, and to perform our Terms & Conditions with you;
  • consistent with your consent, which you may revoke at any time through your Bookmundi profile page;
  • as necessary to comply with our legal obligations;
  • as necessary for our (or others') legitimate interests — including providing an innovative, personalised, safe and sustainable travel service to our users and partners — unless those interests are overridden by your interests or fundamental rights and freedoms.



E) How can you exercise your rights under the GDPR?

Under the General Data Protection Regulation, you have the right to access, edit, rectify, port and delete your data. You can do this from your Bookmundi profile page, where there is a "Delete Profile" button; clicking it deletes all relevant personal data held by Bookmundi. Note that data already shared with a Supplier is controlled by that Supplier; to exercise your rights in respect of that data, please also contact the Supplier directly.

F) Data retention, account deactivation and deletion

We store data until it is no longer necessary to provide our services. This is a case-by-case determination depending on the nature of the data, why it was collected, and relevant legal or operational needs. For files submitted via Bookmundi's messaging system, we delete any file with a storage time of 24 months or more.

To delete your user data or account, use the "Delete profile" button at the bottom of your profile page, or contact us. Once clicked, we deactivate your account and delete your user information. We may, however, retain some information associated with your account and past transactions for purposes such as backups, fraud prevention, dispute resolution, investigations, and compliance with legal requirements. You can change your email subscription choices at any time on your profile page; we may still send service announcements, administrative messages, and surveys relating to your account.

G) How do we keep your data safe and respond to legal requests?

We are committed to protecting the information we collect. While no website can guarantee security, we use appropriate administrative, technical and physical safeguards: only authorised employees may access personal information, and only for permitted business functions; we use encryption when transmitting personal information; and we employ firewalls and intrusion-detection systems. Where you link to another website from Bookmundi, we have no control over that website and cannot guarantee that its operator will respect your privacy as we do.

We access, preserve and share your information with regulators, law enforcement or others in response to a lawful request where we have a good-faith belief that the law requires it; and where we have a good-faith belief it is necessary to detect, prevent or address fraud, unauthorised use, violations of our terms, or other harmful or illegal activity, to protect ourselves, you or others, or to prevent death or imminent bodily harm.

Bookmundi is a general-audience site and does not offer services directed to children. If we learn that a child under 13 has sent us personal information, we will delete it as soon as reasonably possible. People under 18 cannot make a tour booking.

H) How do we operate and transfer data globally?

We share information internally within the Bookmundi companies and externally with our partners and with those you message, around the world, in accordance with this policy. In particular, under the enquiry model we transfer your information to Suppliers in many countries, including outside the EU/EEA, so that they can respond to your enquiry and arrange your booking; those Suppliers act as independent data controllers. Information controlled by Bookmundi ApS will be transferred to, or stored and processed in, Denmark or other countries for the purposes described in this policy. These transfers are necessary to provide our services and to operate Bookmundi globally.

I) How will we notify you of changes?

We may update this Data Policy from time to time. We will notify you of any changes by posting the new Data Policy on this page, and you are advised to review it periodically. Changes are effective when posted.
